@Chicago Email Service Privacy Policy

Effective Date: February 6, 2017

“People are pleased to ‘know’ a great city… Indeed, a strong sense of place supports our sense of personal identity.” – Yan Xu, 1996

This Privacy Policy applies only to the @Chicago email forwarding service (the “@Chicago Email Service”) offered by Chicago Community Trust (“CCT”).

We recognize that individuals need to understand how their privacy is protected, so we have established the following privacy policy (this “Privacy Policy”) for our users. This Privacy Policy describes how CCT will collect, access, use and disclose your personal information and information related to your use of the @Chicago Email Service.

For purposes of this Privacy Policy, “personal information” is data specifically about you, which you typically provide on a voluntary basis.

You understand that the @Chicago Email Service is an email forwarding service only and that CCT does not store your email locally or remotely on any of our servers as part of the @Chicago Email Service.

When you sign up for the @Chicago Email Service, we ask you for certain personal information, including your name and the email address to which your @Chicago Email Service emails will be forwarded. When you send email or other communications to CCT, we may also collect certain personal information from you in relation to those communications.

We may use your personal information to provide you with the @Chicago Email Service (including to forward emails to your primary email account), for troubleshooting and maintenance purposes, to communicate with you (including regarding your account or the @Chicago Email Service or to respond to your inquiries), to offer you information we think may be of interest to you (including information regarding philanthropic events), and for other similar purposes. When you send email or other communications to CCT, we may also retain those communications in order to process your inquiries, respond to your requests, improve our services, and for other similar purposes. We may share your information with our subsidiaries, affiliated companies or other trusted businesses or persons (such as our contractors and agents) for the purpose of processing personal information on our behalf. We do not share any of your personal information with third parties for their own marketing purposes. We may share your information, including any information or other data or files associated with your account, if we have a good faith belief that access, use, preservation or disclosure of such information is reasonably necessary to (a) satisfy any applicable law, regulation, legal process or enforceable governmental request, (b) enforce the @Chicago Email Service Terms of Use, including investigation of potential violations thereof, (c) detect, prevent, or otherwise address fraud, security or technical issues, or (d) protect against harm to the rights, property or safety of CCT, its users or the public as required or permitted by law. In addition, if CCT is involved in any merger, acquisition, sale of company assets (including the @Chicago Email Service), transition of service to another provider, or insolvency, bankruptcy or receivership, we reserve the right to transfer your personal information and other data in connection with such transaction.

The security of your personal information is important to us. However, as even the most secure systems in the world are hacked and broken into from time to time, we make no promises or guarantees or warranties that your information can remain 100% secure, and we will not be liable for any lack of security relating to your use of the @Chicago Email Service. As we do not maintain any email storage infrastructure, we recommend that you follow the password and security polices of your primary email provider, whether that be Gmail, Yahoo!, Hotmail, Live.com mail, MS Exchange, @Mac.com, iPhone, Blackberry, or your applicable third party email provider. The @Chicago Email Service is not intended to be used for email that is confidential or privileged or required to be sent in a secure or encrypted manner.

This Privacy Policy only applies to the @Chicago Email Service provided by CCT. It does not cover other services or websites, including the Chicago.com website or other services provided by CCT or third parties. Because the @Chicago Email Service is not a website but an email forwarding service, the service does not use cookies, nor does it track users’ online activities over time or across third party websites or online services.

The @Chicago Email Service is only intended for users in the United States who are at least 18 years old and are not barred from receiving services under the laws of the United States. By using the @Chicago Email Service, you understand and agree that CCT processes personal information on and provides the @Chicago Email Service through our servers in the United States. In addition, we do not seek to, nor do we knowingly collect, information from children. If a child under the age of 13 has provided us with personal information, a parent or guardian of that child may contact us to have the information deleted from our records. To do so, contact CCT through the information provided in the Contact Us section below.

From time to time, you may receive email communications from CCT, including communications regarding the @Chicago Email Service, information about philanthropic events we think may be of interest to you, and/or other topics. To contact you, CCT may use the information you provide to us, including your primary email address. You may, at any time, inform us that you do not want CCT to contact you with emails not related to the @Chicago Email Service, by sending your request through the information provided in the Contact Us section below. Please note that after opting-out, you will no longer receive communications unrelated to the @Chicago Email Service but will continue to receive messages relating to the @Chicago Email Service and your account, as well as any communications forwarded as part of the @Chicago Email Service.

If you have any questions about this Privacy Policy, or to update or change the personal information associated with your @Chicago Email Service account, please feel free to email us at legal@chicago.com.

Please note that we may change this Privacy Policy from time to time. We will post any Privacy Policy changes on this page and note near the top of this page the date such changes are made or become effective. Your inaction or continued use of the @Chicago Email Service after such notices will tell us that you agree to these changes; however, we will not materially reduce your rights under this Privacy Policy without your consent.
